Support & Managed Services

Keep workplace technology working long after handover.

Provenance combines support-aware design, post-deployment assistance, remote system access and preventative maintenance to reduce avoidable faults and keep workplace technology dependable.

Support should not begin with a fault

The most supportable systems are designed that way from the start.

Provenance treats ongoing performance as a design requirement, not an afterthought. Clear standards, sensible product selection, documented configurations and maintainable access all reduce avoidable problems after handover.

When technology is already operating, we establish a practical baseline: what is installed, how it is configured, which issues recur and what needs immediate or planned attention.

  • Fewer preventable faults and unknown dependencies
  • Faster diagnosis with records and approved remote access
  • Maintenance and lifecycle decisions based on evidence

Support with a longer view

Keep the environment dependable, visible and easier to improve.

Support is more useful when issue resolution, maintenance, documentation and future planning operate as one connected service rather than separate reactions.

Post-deployment assistance

Support the transition from project delivery into normal operation, resolve early issues and refine the system once it is being used.

Preventative maintenance

Schedule practical inspections, testing and controlled maintenance before minor issues become repeated disruption.

Authorised remote access

Use secure remote connectivity, where approved and technically available, to investigate faults and reduce unnecessary site visits.

Documentation and visibility

Keep configurations, known issues, maintenance findings and responsibilities visible to the people supporting the workplace.

Vendor and warranty coordination

Manage supplier escalation, warranty information and specialist support when an issue needs to move beyond first-line diagnosis.

Lifecycle planning

Connect maintenance history with asset age, condition and support status so renewal decisions can be planned rather than rushed.

From handover to improvement

A support cycle that learns from the workplace.

The service can begin after a Provenance deployment or with an existing environment. Either way, we make the starting position visible before agreeing priorities, maintenance activity and responsibilities.

  1. Establish the baseline

Confirm what is installed, how it is configured, who owns each responsibility and which issues require attention.

  2. Stabilise after deployment

Resolve early operational issues, fine-tune agreed settings and complete outstanding handover actions.

  3. Maintain and test

Complete scheduled health checks, inspections and approved maintenance based on system criticality and workplace use.

  4. Improve and plan ahead

Use service history and asset evidence to prioritise improvements, manage risk and prepare for future renewal.

Preventative maintenance

Maintenance works best before the calendar fills with faults.

A preventative maintenance plan is shaped around the technology, workplace usage, business criticality and manufacturer guidance. The purpose is to find deterioration, configuration drift and recurring weaknesses while there is still time to act deliberately.

Not every device needs the same attention or visit frequency. Provenance prioritises the systems where maintenance can materially improve reliability, user experience or useful asset life.

  • Room and system performance validation
  • Physical inspection, cleaning, cabling and connection checks
  • Configuration backups and change records where applicable
  • Firmware and software review before controlled updates
  • Remote connectivity and monitoring-path checks
  • Battery, consumable and component-condition review
  • Prioritised findings, actions and future maintenance needs

Remote system access

Diagnose sooner without making every issue a site visit.

Where the system supports it and the client approves it, secure remote access can give the support team useful visibility before anybody is dispatched. It can shorten diagnosis, enable controlled intervention and make an eventual site visit better prepared.

System visibility

Review device status, logs, alarms and configuration information where the technology exposes them.

Faster triage

Separate user, configuration, connectivity and hardware symptoms before deciding the next action.

Controlled intervention

Complete approved checks, restarts, configuration changes or testing without bypassing client security processes.

Better site response

When attendance is required, send the technician with clearer evidence, context and likely parts or specialist requirements.

Remote access is implemented within the client’s security requirements and agreed authority levels. It does not replace physical maintenance, and some devices or environments will still require attendance on site.

Asset evidence and lifecycle foresight

Maintenance should know what it is maintaining.

An accurate asset register connects support activity with the age, location, condition, warranty and history of the installed technology. That evidence cannot predict the exact day a device will fail, but it can reveal elevated lifecycle risk and prevent obvious renewals from arriving as surprises.

Provenance can use maintenance findings to keep asset information current and turn the register into a working input for budgets, replacement priorities and improvement planning.

Age and renewal timing

See which devices are approaching an agreed lifecycle threshold and plan budgets before replacement becomes urgent.

Fault and maintenance history

Identify recurring issues, repeated interventions and assets that are absorbing disproportionate support effort.

Warranty and support status

Keep warranty dates, vendor coverage and end-of-support information visible when deciding the response pathway.

Condition and location

Connect physical condition and site context with maintenance priorities, relocation decisions and future upgrades.

Explore Asset Registers & Lifecycle Planning

Right-sized support

Choose the support model the workplace actually needs.

The service can cover a defined post-deployment period, scheduled maintenance, remote assistance or an ongoing managed arrangement. Scope, hours, response expectations and exclusions are agreed clearly rather than hidden inside an oversized support contract.

Deployment stabilisation

Short-term assistance after go-live to close defects, refine settings, support users and settle the environment into operation.

Scheduled maintenance

Planned visits and system health checks at an interval matched to criticality, usage and manufacturer guidance.

Remote technical assistance

Authorised remote investigation and support for suitable connected systems, with on-site escalation when required.

Ongoing managed service

A defined service plan covering agreed systems, responsibilities, service activities, reporting and review points.

Business outcomes

Protect performance today and make tomorrow easier to plan.

The objective is not merely to close support tickets. It is to reduce avoidable disruption, preserve useful asset value and give the organisation clearer evidence for future technology decisions.

Fewer avoidable faults

Reduce preventable issues through support-aware design, consistent standards and scheduled care.

Faster, better-informed response

Use remote visibility, documentation and service history to reach the right next action sooner.

More value from installed assets

Maintain suitable technology properly and avoid replacing equipment simply because its history is unclear.

Clearer future investment

Turn condition, lifecycle and support evidence into a practical improvement and renewal plan.

Frequently asked questions

Clear answers about ongoing technology support.

Is this a 24/7 IT helpdesk service?

No. Provenance provides defined support for workplace technology, including post-deployment assistance, preventative maintenance, remote technical access and lifecycle planning. The systems covered, service activities, availability and response arrangements are agreed for each client rather than presented as a generic 24/7 helpdesk.

Can Provenance support systems it did not originally deploy?

Potentially, yes. We first establish a baseline covering installed equipment, configuration, documentation, condition, known faults and support dependencies. That assessment allows us to confirm what can be supported, what needs remediation and which responsibilities should remain with another vendor.

What can a preventative maintenance visit include?

The scope can include system testing, physical inspection, cleaning, cabling and connection checks, configuration review, backup verification, firmware or software assessment, remote-access validation and a prioritised record of findings. The exact activities depend on the technology and agreed service plan.

How does remote system access work?

Where suitable technology and client security policies allow, Provenance can use an authorised remote connection to review device status, logs, configuration and system behaviour. Any remote action follows agreed permissions and change controls. Remote access helps with diagnosis but does not eliminate the need for physical maintenance or site attendance.

Can an asset register predict future device failures?

It cannot predict an exact failure date. It can, however, show asset age, condition, warranty, support status, maintenance history and recurring faults. That evidence provides useful foresight into elevated risk and helps organisations plan renewal before a known lifecycle issue becomes an urgent replacement.
